How to Search Your A&D Book

Access your A&D Book search functions to query records, view item details, add notes, and export data. This requires assigned permissions to access Search/Query and Item Detail areas.

Steps

  • Navigate to Search/Query. Under the Bound Book Search heading, select Search/Query. The A&D Book screen displays with entries sorted by most recent acquisition date.
  • Use Quick Search for serial numbers. Enter text in the search bar above the A&D Book to query serial number fields only. This will return all serial numbers containing your search characters.
  • Access Advanced Search for detailed queries. Click the Advanced Search button above the general search bar to query specific fields with date ranges or text matching options.
  • Filter by date ranges. In Advanced Search, select Acquisition or Disposition Date, choose before/after/on options, select your date, and click Add Filter.
  • Search other fields and apply filters. Select your desired field, choose exact match or contains options, enter search text, and click Add Filter to apply your criteria.
  • Add notes to records. Click the Notes button for any line item to open the dialog popup. Enter your note text and click Save, or click Cancel to abandon without saving.
  • Export data to CSV or PDF. Click Export CSV or Export PDF above the Disposition column. Click the link in the dialog popup to access the Reports: Export Downloads page and download when processing completes.
  • Use Item Detail for comprehensive view. Select Item Detail under Bound Book Search, enter a serial number, and review complete firearm details, acquisition/disposition information, notes, corrections, and loan history.

Expected Result

  • You can successfully search your A&D Book records, add notes, view detailed item information, and export data while preserving serial number formatting.

💡 Tip

For Multi Book Search, select your desired books under Bound Book Search, choose from A&D History, Open Dispositions, Loan History, or other report types, then click Run Report to generate searchable results across multiple books.

⚠️ Compliance

If any serial numbers in your A&D Book contain leading zeroes (e.g., 001, 00900ADE), opening CSV files directly in spreadsheet programs will drop those leading zeroes. This is a function of the spreadsheet program, not Orchid eBound Book. Use Excel's Text Import Wizard and format Serial Number columns as Text to preserve leading zero formatting.
